Jahia Releases Wise For Sharing, Socializing and Collaborating on Enterprise Documents

Jahia has just released Jahia Wise enabling document sharing and collaboration no matter what environment you’re working in.

That is to say that Wise works either as a standalone, or with Jahia’s Web CMS system, xCM, with the option to use it as an on-premises deployment, or in the cloud. In fact, Wise has been built to be as flexible as possible and designed to meet enterprise needs whatever those needs are.

CMSWire sat down with Jahia to see exactly what it offered and was impressed by its clean user interfaces, and agility. That, however, is personal opinion, and if you want to see more on that you can go back to the preview last month.

The official release is today (Thursday) and with it Jahia is able to shed some light on what’s under the hood of this comprehensive application.

Jahia Wise Functionality

The first thing that Jahia is offering is an application which, it says, costs only a fraction of the cost of other, similar applications from proprietary vendors with the advantage — leaving aside the reduced cost element — of not requiring large integration projects to fit into the enterprise environment.

It comes with all the usual sharing and collaborative functions of the systems of competing vendors, but it does so straight out-of-the-box. Other features in Wise include:

  • Document sharing: This comes with versioning and history as well as lock in/lock out, permissions, mass imports, drag and drop import and gallery display.
  • Social Collaboration: Enables users to comment on projects, task assignation, auto tagging, collections, validation workflow, wikis, blogs, notifications and all the other social enterprise features users require for work now.
  • Web content: Enables users to centralize any type of data and avoid the scourge of the development of uncontrolled content siloes. It also enables content clipping for pulling data into the system.

On top of this, Wise also comes with a new email feature that enables users to feed information into project information spaces through the use of email. This also enables the integration and synchronization of email discussions into the collaborative processes being carried out in Jahia.

While the features and interfaces will be what attract the business user, it is the flexibility that is the really strong point in terms of the build, making much of the modularity of the Jahia Content Platform.

In fact, when we talked with Elie Auvray, CEO of Jahia, about Wise at the end of the summer this was one of the points that he was at pains to underline.

When it comes to enterprise collaboration and document exchange, companies expect more and more integration with the information they share online on their intranet or website. The result is that many solutions on the market are cumbersome, complex and costly — especially in terms of integration.

Document Mgt Roll-up: Alfresco's Solr Integration, Hyland's Easy Mobile Access

This week in the document management world, Alfresco is back in the news with the announcement of a new integration by Ixxus to add Solr search to Alfresco 4, Hyland is making its OnBase application more readily accessible through mobile devices, Lexmark rebrands Brainware and SealPath secures documents in the cloud.

Alfresco’s Solr Integration

More from Alfresco this week after the release of the Community Edition v4.2 last week. Again, Alfresco is not making a big deal about it, with the only reference to it so far in the Alfresco blog.

If you use Alfresco, this will definitely be worth a look. The announcement comes in the shape of a guest post by Dan Tuffery of Ixxus, which says that systems integrator Ixxus has just released code that will enable users to integrate Solr with Alfresco 4. The result is the application of "Faceted Search" to Alfresco 4, enabling users explore content collections by applying multiple filters to its search results.

In practical terms, this means that users can continue to use simple keyword search, but it also enables users to add filters to the search results as they go through the results and as they require them. This frees them from then trying to second-guess what filters will be needed and applying them at the start of the search.

All this is the result of enabling users to integrate Solr search to the Alfresco repository. Solr, you might recall, is an open source search server built on top of Apache Lucene that is extremely fast and scalable, and enables faceted navigation, query and browsing.

Hyland’s Mobile OnBase

Also in the document management space this week is news from Hyland Software, which has just announced the release of Mobile Broker for Microsoft’s Windows Azure that will enable Hyland customers to implement mobile solutions easily.

Specifically, it offers Hyland OnBase customers with an alternative implementation option for mobile solutions, without having to make significant investments in hardware.

With it, iPhone/iPad, Android, Blackberry and Windows Phone users can securely connect to OnBase through Azure, which reduces the need for IT departments to manage secure access connections between mobile and enterprise networks.

In reality, what it does is to make OnBase a lot more attractive to enterprises, as users can use it through mobile devices — without the enterprise having to spend a lot securing access and users’ phones.

This release should hardly be a surprise, as OnBase uses numerous Microsoft technologies already including .NET, Windows Azure, SQL Database and BizTalk Server. It also integrates with Office, SharePoint and Outlook.

Lexmark Rebrands Brainware

Meanwhile, Lexmark continues to reshape Perceptive, which it bought last year to help it gain deeper traction in the document management space. This time it has announced that Brainware Distiller, its intelligent data capture product, is to be rebranded.

From now on, it will be known as Perceptive Intelligent Capture, powered by Brainware, but apart from that, it doesn’t appear to have been changed much. It will remain a standalone product for automating the entry of data into the system and will continue to be compatible with all the different applications currently in use in the enterprise.

Xerox Upgrades e-Discovery Platform, Adds Streamlined Redaction While the upgrade to Xerox’s document review platform is interesting from a functionality point of view, it's even more interesting from an industry perspective because it shows the company's ongoing commitment to extending and building its document management capabilities.

We never really doubted Xerox's commitment after the huge investment it put into document management — particularly since CEO Ursula Burns announced two years ago that she wanted to rebrand Xerox as an office hardware company and a document management provider.

Not that OmniX, which is the product that has just been upgraded, is document management per se. It falls under the Xerox Litigation Services part of the company, which covers its e-Discovery services portfolio. But it is software and it deals with the management of documents, so it is quite distinct from Xerox’s hardware business.

OmniX 5.4: Faster, More Accurate Redaction

In this version, which comes out as v5.4, the web-based document review platform comes with integrated redaction functionality that enables enterprises to carry out redaction processes quickly and with more accuracy.

In plain English, this means that it comes with the ability to automatically black out portions of documents that the sender does not want to be seen by the document receiver.

It also streamlines the workflow in OmniX by enabling users to add redactions along with the reasons for the redaction. Users will also be able to apply the redaction to specific terms in the documents based on search results and advanced text pattern recognition.

To ensure that a tight rein is kept on all documents that have gone through the redaction process, an audit feature enables users to find, track and report on documents that have been redacted.

Explaining why Xerox’s tool is different, Paul Mathew, CTO with the company's Litigation Services, explained that it is possible to set v5.4 so that it applies the redaction rules across all documents and not just on a document-by-document basis.

In most review tools, users are forced to manually apply the same redactions — document by document — to hundreds or even thousands of documents. This is a tedious, inconsistent and time-intensive process … Additionally, for our clients involved in cross-border matters where the protection of personally identifiable information is critical, automated redaction is a highly effective tool to help them meet the myriad complex data privacy laws. ”

And there’s more — another element that, while probably not the most interesting feature from a technology perspective, will be the most interesting for business users.

That feature is reverse redaction. For many people exchanging documents outside firewalls, the part of the document that ends up redacted tends to constitute the large part. With reverse redaction, users can identify the areas they wish to keep and redact the remaining content in the document.

The current upgrade is available to users now, but Xerox says that the upgrades to OmniX are an ongoing work in progress and that there are minor changes made on a weekly basis.

Dropbox Improves Mobile Photo Viewing Experience

Document sharing service Dropbox is improving the photo viewing experience for mobile phone browsers.

Dropbox says users can now view photos via mobile phone “as easily and vividly as you would from your computer.” By visiting the Dropbox site from their mobile phone, users can then select the Dropbox icon, click the “Photos” button and see the photos in their “Camera Uploads” folder in what Dropbox is promoting as a “big, shiny gallery format.” Dropbox photos can also be viewed at full size on a mobile phone and mobile users can flip through photos one at a time.

Enhancing Photos for All Mobile Users

One of the most significant aspects of this move by Dropbox is that the mobile site itself has been enhanced. Thus users of mobile platforms that Dropbox has not yet developed an app for (such as Windows) can now get the same enhanced photo-enhanced experience as users of Dropbbox’s iOS and Android apps.

A new article in TweakTown comments on the importance of the latest upgrade to the Dropbox mobile experience. “Dropbox have moved toward a gallery-style image viewer, which is available to anyone with a mobile device,” states the article. “Windows Phone is included, which is great news as there's no official Dropbox application on Microsoft's mobile OS.”

Dropbox Aims at Photos 

Most people with a digital camera or mobile device with a camera installed quickly accumulate a giant collection of digital photos. And photos are also becoming an increasingly important form of corporate content. Recognizing the value of this trove of visual data, Dropbox has been focusing on providing the best photo experience possible as a way to differentiate itself in the document sharing/storage market.

As reported by CMSWire, in April 2012, Dropbox added a new Photos page and the ability to upload those photos from just about any device as part of its Dropbox 1.4 release. The minimalistic layout organizes the photos in a very Flickr-esque way. When new photos are uploaded to Dropbox with Camera Upload, photos are grouped by month, and hovering over them will show the date. Users can see full size versions and share/download them by clicking. As an added bonus, Dropbox is throwing in 500 megabytes of free storage when you upload your first image with the new version.

Additionally, Dropbox will add another 500 megabytes of free storage for every 500 megabytes users upload with Camera Upload (up to three gigabytes extra). Camera Upload will prompt you when a device is plugged in to the computer or if using the newest version of the Android app.

Document Mgt Roll-up: Google GSA 7.0 to Speed Up Doc Search, WatchDox Adds App for SharePoint

It may have been a holiday weekend, but it’s still busy in the document management world. Google has just released GSA 7.0, which makes document search and retrieval a lot easier, WatchDox has released a SharePoint application, Perceptive is offering an e-signing tool, and Central Desktop has introduced single sign-in.

Google was busy over the weekend — first thing Tuesday, it announced in its enterprise blog that it had launched Google Search Appliance 7.0 which it says will enable workers to find their documents and data in the blink of an eye.

In the post, Matthew Eichner said that Enterprise Search enables users to find content no matter where, or how, they are searching for it.

"Administrators can easily add content sources from secure storage, cloud services or the public web and social networking sites," he said. "GSA 7.0 also provides Google-quality search for SharePoint 2010, making for a more simple and intuitive, all-in-one search experience."

It also adds a whole pile of features that will specifically help with document-related tasks including:

  • Document preview through thumbnails
  • Google Translates will offer search results in more than 60 languages
  • Updated language capabilities including parsing in Arabic, Japanese, and Korean
  • A new interface for the GSA 7.0 release.

It also comes with better SharePoint support and will be generally available in the US on Oct. 16.

WatchDox for SharePoint

WatchDox was also busy with the extension of WatchDox to SharePoint, enabling users to make their SharePoint libraries mobile and collaborative across company boundaries.

WatchDox for SharePoint users can use their existing SharePoint rights to apply WatchDox’s existing security controls across their documents in SharePoint. When documents are downloaded or shared across mobile devices — or outside the company firewalls — the documents are still protected by the same safeguards as they have in the enterprise.

This release acknowledges the fact that more and more workers are looking to work outside the enterprise firewall. It is also a response to the growing use of SharePoint.

WatchDox is administered form the normal SharePoint interface, with functions like on-line viewing and check-in/check-out still applied in the same manner. The WatchDox security settings only kick in once someone tries to download the content to a mobile device, or when users start trying to share and collaborate. The bottom line, Watchdox says, is that there are no changes to the SharePoint user experience.

Perceptive’s New e-Signing

Meanwhile, Perceptive, which you may remember is the company that brought document management to Lexmark, has launched eAuthorize for electronic signatures.

The new signature tool, which is the result of a partnership with AssureSign, enables users to sign off on documents electronically, whether the user is using Perceptive software or other third-party software, and then upload the signed documents into Perceptive’s enterprise CMS.

Using RESTful Web services integration, it also enables users to sign off on documents even after the signing is initiated during a business process, using a Perceptive eForm, or again through a third-party application.

Once the document has been signed off, it and all other associated documents are collected into the content management application along with a full history of the document and document signings for archiving or compliance issues.

Jahia Wise Preview: Versatile, Streamlined Document and Social Collaboration FunctionalityAt the end of this month Jahia will introduce a new open source solution called Jahia Wise that combines document management and social collaboration. Easy to use, it has all the functionality required to enable workers to integrate all their information sources and populate their websites or intranets with enterprise content.

Jahia already offers a number of solutions for working with data (including documents), but this solution is designed to make it easy for business users to share documents, exchange them, work on them collectively, and ultimately publish them in a controlled and ordered fashion.

Jahia Wise has been doing the rounds of some of the tech shows, particularly in France. Recently, Elie Auvray CEO of Jahia and Anne de Forsan, director of Communications, sat down with CMSWire and gave us a look at the new product.

Jahia Unity, Jahia Wise

Jahia is keeping some of the functionality under its hat until the product launch, because, Auvray says, some things are unique and well, why give competitors a chance to pre-empt you?

But that’s all by-the-by. When Jahia Wise is released it will have been in the works for about a year, according to Auvray. The driving principal behind it, he says, is the same principal that drives all Jahia’s other products — notably, unity.

Expanding on the concept of unity, he pointed out that Jahia has, as its driving principal, the delivery of agile open source technologies. This delivery pushes enterprise application convergence as far as it can possibly go by pulling together web, search, document, social and portal technologies.

And Jahia has already managed to achieve this, he says, with some of their other products — like their content management system eXtended Content Management (xCM), their visual experience builder Jahia Studio, their content core platform and a number of other JahiApps (Jahia applications).

When it comes to enterprise collaboration and document exchange, companies expect more and more integration with the information they share online on their intranet or website. Many solutions on the market are cumbersome, complex and costly — especially in terms of integration.

Jahia Wise Evolution

Jahia Wise offers an alternative to this complexity, Auvray says. It is the first time that Jahia has produced a product focused entirely on the document, file sharing and social collaboration market. It is a completely new product, based on the same underlying platform as xCM is, but has evolved to ensure that the distribution of content across the enterprise is easy and intuitive. To do that it comes with numerous modules and packages.

While Jahia Wise can work as a complementary product to the core platform, it does have a separate installer, which means that it can also be set up and run independently of the core platform for enterprises that are looking for a distribution platform on its own.

It evolved in this way, Auvray says, because when they went looking at distribution management systems they saw a wide range of products that can manage a wide range of content. However, they also found that once an enterprise started building an intranet based on existing company information, located in different silos, the nightmare of integration began.

Document Mgmt Roll-up: MS Outlines Exchange 2013 Features, HP Tackles Information Governance

It's a busy time in the document management world. The Microsoft Exchange Conference returns after 10 years as Microsoft gears up for the new Office 2013 release, HP uses Autonomy’s IDOL for information governance, AvePoint offers governance in SharePoint, FileTrail extends SharePoint’s records management, and Alfresco releases a new synching tool for enterprises.

Microsoft’s Exchange 2013 Features

There are a number of conferences on, but one of the more interesting ones is the Microsoft Exchange Conference, which makes its return after a 10-year absence.

It’s not really surprising that it should reappear now, given the developments around Office 2013 and Office 365, but this is specifically about Exchange. So far, with only one day of talks over, the whole emphasis has been on the new features that are due to come in Exchange Server 2013, as well as those that will appear in Exchange Online and Office 365.

In an Office blog post published this week Harv Bhela, General Manager for Exchange Program Management with Microsoft outlines some of his thoughts on it, and talks about some of the features that will appear in both online and on-premises versions of Exchange (even if these are well known already).

Little in relation to this will be much of a surprise, as the public beta was released in July and the private beta earlier in the year.

The first day of the conference focused on the security and compliance features that will come with Exchange.

According to Bhela, the data protection and archiving features look to take Exchange into the Big Data world. Some of the features that aim to do this include:

  • Cloud-based email security with Exchange Online Protection
  • Monitoring, protection and identification of sensitive data with Data Loss Prevention technology
  • Email archiving, hold and native data governance
  • New e-Discovery tools to locate information
  • Integration with SharePoint and collaboration with site mailboxes

Meanwhile, Microsoft (for some reason) still won’t confirm release dates for Office 2013 or Exchange Server 2013, but a good guess is Spring 2013. If you’re interested in more on the Exchange conference in Orlando, check it out here.

HP’s Information Governance with IDOL

One of the more interesting announcements this week is the one from HP about the use of Autonomy’s IDOL in the management of structured and unstructured data.

It’s just over a year since HP bought Autonomy for US$ 10.2 billion. While HP has been adding Autonomy’s IDOL to some of its software, it never really gave the impression that it had a fully developed IDOL integration plan.

This release, though, looks very much like an information management strategy that sees HP really pushing the boat out as it looks to try and build on that acquisition. Interested in more?

AvePoint Compliance For SharePoint

But it is not only HP that has been issuing releases around information governance this week. AvePoint has also been busy and announced the availability of its DocAve 6 Service Pack 1 (SP) that provides governance for SharePoint.

Document Management Roll-up: Alfresco Hints At New Release, Google Drive Editing For iOS

Now that Labor Day weekend is over, companies are shifting into high gear to prepare for the holiday push. Among the document management products being released in the next two weeks the general release of M-Files v9.0 and something new from Alfresco. This past week, Google Drive editing capabilities for iOS were upgraded, while enterprise content management looks set to grow in the EMEA region.

Alfresco Moves

Alfresco is due to make an announcement early next week about a new product that will offer businesses syncing simplicity between the cloud and on-premise content.

In the meantime, anticipating increased business interest in the US, Alfresco has announced plans to expand both its management team and Atlanta headquarters. The new appointments are focused principally on building the sales team — specifically, by appointing someone to chase federal sales and consulting initiatives, as well as beefing up its sales department generally. More on this next week, when we can take a look at Alfresco’s new release.

Enterprise CMS in EMEA

Even in the current economic circumstances, Enterprise CMS is set to grow, according to new research by TechNavio. In particular, Europe, the Middle East and Africa (EMEA) region is set to grow between now and 2015, which may come as a surprise to some in light of the difficulties in many European economies.

In fact, it won’t just grow. According to the report, Enterprise Content Management Market in the EMEA Region 2011-2015 ,  growth in the enterprise CMS space will be in the region of 13.8% compounded annually between now and the end of 2015.

This period will likely be marked by an increasing number of mergers, of which there is ample evidence already. The report also identifies OpenText, IBM, EMC and Oracle as the big players, but there will still be considerable activity from smaller players like Hyland, Laserfiche and Newgen.

In fact, looking at the brief summary of the report at hand, it looks like a profitable three years with growth expected across the entire EMEA region.

M-Files v9.0

As the end of the month approaches, M-Files is getting ready to offer M-Files v9.0 on general release. At the core of this release, the company says, is advanced support for customer deployments that require multiple document repositories, or vaults.

Multiple repositories can create considerable problems, as we have seen in the past. M-Files president Greg Milliken says that v9.0 offers better interaction and cooperation between these repositories. Using new replication abilities, V9.0 aims to streamline the process of dealing with one of the main problems of multiple repositories — relating data to other relevant data in other repositories.

While an exact date for the general release hasn’t been given, it will be available by the end of the month. More on this then.

Google Drive Improvements

Finally, if you missed it earlier this week, Google has announced that it is expanding the functionality of Google Drive for iOS and Android users.

Already up and running, users of the new iOS Drive app have the same document-editing ability that users of the Android Drive app already possess. They can also create new documents and format text as well as view other people edits.

In fact, there is a whole range of functionality that has just come on line that will make working in Drive on iOS considerably easier.

Eclipse Corp Deepens Oracle Partnership Extending Document Automation Reach

It's quiet in the wake of Labor Day, but document automation vendor Eclipse isn't resting as it moves to Silver level membership of the Oracle Partner Network (OPN).

For clients of the companies involved, these kinds of partnerships are usually a good thing and generally result in better, or more, products. For the companies involved, it usually means extended reach into the markets they are operating in already, and the opening of new markets.

Oracle With Eclipse

With this partnership, Eclipse says that it will be able to add Oracle’s 1-Click line of products to its portfolio enabling what it describes as “competitive positioning” — which generally means better pricing — as well as, and probably more importantly given its products, increase its presence across the midsize market.

On top of that it will also be able to use the OPN portal tools and resources, as well as the expert help in the Oracle Partner Business Center, which it says will enable it to maximize customer offerings and customer retention as a result.

For Oracle, which is giving Eclipse access to its customer base, the principal benefits seems to be the fact that it will be also able to offer a new range of document solutions to its customers.

Eclipse Document Automation

Eclipse has an interesting set of solutions that build on the idea of Integration without Modification (IWM). This enables users to build all kinds of documents and forms without every having to go near the source code.

It also does away with the need for Change Management associated with document presentation and delivery.

Eclipse builds enterprise document generation software solutions and e-forms, specializing in the technology that enables companies to develop business documents.

According to Eclipse, all of its solutions come with Enterprise Cloud Fax Service that effectively does away with the need for fax servers, phone lines and physical fax machines.

The result is batch faxing that is not only up to 20 times fast than traditional faxes, but is also capable of sending 250,000 faxes in a single transaction.

Document Management Roll-up: Kodak SharePoint Capture, Lexmark's New Strategy

It may have been Labor Day week, but still a few interesting items to note in the document management world. Kodak has just announced the release of a capture solution built on SharePoint, OpenText targets Tempo Express at legal industry, Lexmark points to a new hardware strategy and the Document Foundation joins OASIS.

Kodak’s SharePoint Capture

If anyone thought Kodak was just going to roll over and die, they were wrong. Financial difficulties aside, and selling of patents aside, Kodak is still working away. This week’s document capture release demonstrates that.

The new software, which comes with what Kodak describes as a radically simplified interface, is built using SharePoint 2010, which is going to make it attractive for all those companies that have installed SharePoint, and we know how many companies that actually is.

With Kodak’s Info Activate Solution, which is an enterprise-wide distributed system, users will be able to digitize documents and start business processes at the same time. This means that by the time you have your document in the system, the process of treating that document is already underway.

The real kicker here, though, is the SharePoint element. Because it has built Info Activate on top of SharePoint, users will also be able to use SharePoint technologies including content libraries, business connectivity services, dashboards as well as all the modules and third-party products that can be integrated into SharePoint.

The bottom line here is that with it, enterprises are being offered a new solution that can take documents into SharePoint directly and easily and start processes within SharePoint automatically. It also requires little or no training to use.

While Info Activate Solution functions inside SharePoint 2010 for tight integration, it can also provide file output for enterprises that are using other enterprise CMS platforms too, and can produce documents in pretty much any format you can think of. The new solution is available now.

OpenText’s Legal Tempo Express

Though it may have been a holiday weekend, OpenText was busy during the week. If you missed it earlier, it has released OpenText Tempo Express specifically for the legal industry.

It enables enterprises to set up a private solution of sharing and syncing content form inside the company with third-parties outside the firewall, all done through the cloud.

Tempo has been around for a while with the general release last November. That release centered on making document sharing quicker and mobile, with users also able to synchronize data across all computers and data. In March, that release was bolstered by a Tempo Express Edition. Interested in more on this?

Lexmark’s New Hardware Strategy?

If you’ve been following the MFP space at all over the past few weeks, you couldn’t but be aware that Lexmark has announced a massive shake-up that will see 1,700 jobs going worldwide as it exits the inkjet space to focus on what it considers more profitable technologies.

The announcement was greeted with some shock from a number of places, particularly Perceptive, which was acquired by the printing giant in May 2010 for US$ 280 million as Lexmark published its ambitions in the enterprise CMS and document management space.

Document Mgt Roll-up: Vizit 5's SharePoint Doc Features, Office 2013 On Demand

This week, even with Labor Day weekend approaching there are a few notable releases. Vizit has announced the release of v5 that enhances document management in SharePoint, Microsoft has announced Office 2013 On Demand, M-Files announced SkyDrive support for v9.0 and Parascript upgrades FormXtra toolkit.

M-Files v9.0 With SkyDrive

This week, M-Files announced that the v9.0 of M-Files supports SkyDrive. This means that on top of all the existing collaboration features of the M-Files enterprise content management system, users will also be able to review and edit documents using the co-authoring features of SkyDrive.

The addition of SkyDrive support effectively surmounts the problems associated with sharing documents and other content with third parties by enabling those who don’t have access to M-Files, such as customers, partners and contractors, access the content contained in M-Files through SkyDrive.

And as SkyDrive is accessible through any device, including PCs, tablets and smartphones, it means users can collaborate on content while on the move without having to resort to email and associated attachments.

Co-authoring, as a result, will be possible through all Office applications or through WebApps even if Office is not installed locally.

There is other collaboration features available in this new version of M-Files, including better mobile access, search, cloud and hybrid cloud deployments, and long-term archiving. The beta version of M-Files 9.0 is currently available, while the full launch is scheduled for late September.

Parascript Upgrades FormXtra

Also this week Parascript has announced that it is releasing a new version of its FormXtra software toolkit that will enable developers to integrate forms with better accuracy.

FormXtra SDK 5.0 locates key data in machine print, hand print and cursive script enabling organizations to extract the important information. While earlier versions were also able to do this, Parascript says this version offers extraction possibility for a wider range of forms.

Using Parascript’s recognition technology, FormXtra SDK 5.0 can even take information from batches and process images that do not match existing templates. It also offers capabilities for the recognition of tables that may not be discreetly defined like transactional data found on invoices or other business documents.

Vizit v5.0 Released

For content visualization this week, Vizit, which provides search, and social collaboration solutions for SharePoint announced the general availability of Vizit 5.

With it, SharePoint users can find documents and specific passages or exhibits within documents, and share those portions of content in any collaborative SharePoint workspace. It also integrates document management into Yammer, enabling users to bring content into their Yammer conversations.

While Vizit 4 introduced search previews that can be placed beside any search or list result in SharePoint, Vizit 5 extends search by offering Best Bets. This means that Vizit 5 applies the search terms to the document, opens the document to the most relevant pages, and using highlighted search terms, offers users the information they are looking for.

Collaboration also got a makeover in this version, as Vizit 5 offers the ability to create a reference point within a document and share an extract using features like Vizit Conversations or Social Footnote.

Dropbox Tests Two-Factor Authentication

Following a well-publicized security breach that was discovered last month, document sharing service Dropbox is launching a beta test of two-factor authentication with some users. The new security feature, made available on Friday, August 24 to early Dropbox adopters using Windows, Mac OS X, or Linux PC, sends users a one-time mobile security code they must enter in addition to their standard password.

Early Results Suggest Two-Factor Authentication Has Kinks

As reported by Information Week, two-factor authentication has already been previewed by Dropbox VP of Engineering Aditya Agarwal. It comes as a response to the discovery that spam being sent to user email accounts only used for Dropbox originated from hackers who had stolen passwords they had reused from other sites (see more detail below). In addition, an internal Dropbox investigation revealed that hackers stole unencrypted user passwords that were improperly stored in a Dropbox employee’s account.

Dropbox users can receive mobile security codes via text message or mobile app. Information Week reports that early public commentary on the beta test suggests it needs some fine-tuning. For example, one user posted in an online Dropbox forum that despite signing up for two-factor authentication, he could still log into his Dropbox account only using his password.

Another complaint posted online by more than one user is that currently there is no backup option if a mobile phone or the 16-digit mobile security code is lost.

Two-Factor Authentication One of Several Promised Security Fixes

In a public statement on its website, Dropbox previously said it would start requiring two-factor identification. In addition, Dropbox pledged to offer security fixes including a new page that will let users see all logins to their account, and possibly periodically ask users to change their passwords. Internally, Dropbox intends to add automated mechanisms for detecting suspicious activity.

Obviously, it will take some time for Dropbox to launch fully operational versions of all these new and improved security features (and internal features may not be publicized), but considering how quickly the company rolled out a beta test of two-factor authentication, Dropbox seems committed to rectifying the problems caused by this embarrassing security breach.

Dropbox users themselves should also take some steps to help protect not just their Dropbox accounts, but all of their various online accounts. The IT Security Office at Duke University offers some helpful tips on how to select a strong password that will not be easy for a hacker to guess. These include using at least eight characters (some systems allow up to 63), mixing upper and lower-case characters, interspersing punctuation marks and symbols, and using modified versions of words from favorite childhood nursery rhymes or foods. Duke IT Security also advises to never use the same password on more than one account and to avoid dictionary words, phone numbers and anything associated with a name.
